Overview:

Join our dynamic team committed to delivering top-notch service in the HVAC and refrigeration industry. From maintenance projects to construction, we take pride in maintaining the highest standards of quality. We're seeking motivated individuals to join us in upholding excellence and professionalism in our work.

Position Overview:

  • Position Status: Office Administrator

  • Reporting Relationships: Reports to Director/Owner - Brendon Parker

  • Liaise with: Office staff, team members, and clients

  • Work Hours: 8:30 am - 5:00 pm, Monday - Friday, 40 Hours per week, Full-Time

  • Wages: $20 - $30, Ultimately based on prior experience and knowledge of job requirements

  • Contract Rate: Negotiable based on experience and demonstrated ability

Role:

Assist the Director/Owners and Office Manager in ensuring efficient and professional completion of assigned office activities.

Responsibilities:

  • Timely attendance, coordinated lunch breaks with Director/Owner to ensure continuous phone coverage.

  • Maintain a professional appearance and demeanor.

  • Demonstrate politeness, courtesy, and friendliness consistently.

  • Execute tasks as instructed by Director/Owners within expected time frames.

  • Ensure site safety in compliance with WorkSafeBC regulations.

  • Adhere to 'House Rules' and 'Rules of the Game' of StillBuilt Solutions Ltd.

  • Foster a positive work environment, taking pride in achievements.

  • Provide 2 weeks' notice for time off; sick leave notification before 7:30 am.

  • Actively participate in team meetings, contributing ideas and expertise.

  • Collaborate and share knowledge with team members.

  • Answer phones promptly; notify Director/Owner if away.

  • Assist in scheduling maintenance jobs for tradespeople.

  • Support marketing activities (e.g., mailing, customer database maintenance).

  • Handle filing, mail processing, and cheque banking.

  • Address email and website inquiries as directed.

  • Manage credits back to suppliers.

  • Document procedures under your jurisdiction.

  • Process and manage Supplier Invoices, including importing.

  • Invoicing tasks.

  • Friday preparation of paperwork for the following week's jobs.

  • Creation of new jobs in SimPro.

  • Manage purchase orders effectively.

  • Maintain the Ford Telematics Vehicle Database.

    Key Performance Indicators

  • Daily creation of purchase orders.

  • Effective communication with Directors and proactive highlighting of potential issues.

  • Punctuality in arriving and departing from work.

  • Consistent delivery of high-level customer service.

  • Willingness to share expertise with colleagues.

  • Timely and accurate completion of tasks.

  • Up-to-date physical and electronic job folders.

  • Maintenance of up-to-date and relevant invoicing records.

Experience:

  • Have knowledge of Accounts Payable and Receivable processing and entering and generating

    invoices.

  • Past experience fulfilling tax obligations (GST/Source deductions)

  • Have excellent customer service skills and phone manners and communicate effectively with

    clients.

  • Social Media knowledge and experience is required as you will be assisting with posting on various platforms

  • Minimum 2-3 years in office administration role (If previously for trades company will be an advantage)

  • Experience with Quickbooks Online or other accounting software (Sage)
